System settings

Organisation-wide settings: global behaviour, the main menu, Willba's appearance, sites and user groups.

GLB - Global Configuration

Global Configuration collects settings from many areas. Each field is explained on the page of its area:

Timezone

Your local timezone, chosen from INF - Timezone. Willba uses it to decide when a day starts and ends: check-in and check-out, task due dates, automated sales actions, the POS business day and reports. Set it once when Willba is taken into use.

Timezones are written in the international format, e.g. Europe/Helsinki.

Navbar (main menu)

The navbar defines Willba's main menu: the top-level menus and the views under each.

Field	What it affects
Navbar item	The top-level menu: Search, Front desk, Booking, Listing, Report or Registry. A menu without views is not shown.
Sort dropdown items by	Order of the views: as entered in Strapi, or alphabetically.
Dropdown items	The views in the menu. Each view can be added once per menu.

A dropdown item can also be an external link (view type External):

Field	What it affects
External name	Label in the menu.
External URL	Address of the page.
Is embedded	When on, the page opens inside Willba. When off, the browser navigates to the address.
External slug	The end of the page's address inside Willba, e.g. intranet. Created from the name if empty.
Open in new tab	Opens the link in a new browser tab.

Removing a view from the menu hides it from everyone. Access to views is additionally limited by user permissions — for example the Users view is only shown to users allowed to manage users.

ERP - Theme Configuration

The look of the Willba main application.

Field	What it affects
Branding	Logo in the header, browser tab icon (favicon) and page title.
Palette	Colours: primary, secondary, accents, text colours and the success, warning and danger colours. Empty colours use Willba's defaults.
Spacing	How much space there is around and between elements. Affects the whole interface — change with care.
Typography	Fonts for headings and body text (Google Fonts or Adobe Typekit) and the base font size.

SITE - Site

Sites are the properties or locations of a multi-site organisation. Many registers can be limited to certain sites (see Site restrictions).

Field	What it affects
Name	Shown in the site selector and site lists. Must be unique.
Address, Website	Site details.

Users see the sites they have been given access to in user management; creating a site in Strapi does not by itself grant access to anyone.

Contact details on sites currently have no effect.

CMN - User group

Groups of users that tasks can be assigned to, e.g. Housekeeping, Kitchen, Sales. Used as assignees of check tasks and other tasks, and in the task filters of listing presets.

Field	What it affects
Name	Group name. Must be unique.
Restricted to sites	Sites where the group is offered as an assignee. Empty = all sites.

Displays

Info displays are configured in the INF registers. See Room display and Lobby display.

Register	What it affects
INF - Info Display Configuration	Common look of all displays: background image and effects, colours, the text shown when a room has no reservation, and a free text shown on every room display.
INF - Info Display Lobby	One lobby display per entry: title, address, the spaces shown with direction arrows, whether vacant spaces are hidden, how long each page is shown, and an optional background.
