Products and pricing registers
Products are everything you sell: accommodation, meals, room and equipment rentals, services and goods. A product's settings decide its price and VAT, how it is booked to accounting, and how it behaves in a sale (for example whether it creates meals or is priced per night).
Catalogs and products can be managed in Willba under Registers → Catalogs / Products, or in Strapi.
PRO - Catalog
A catalog is a group of products sold by one company.
| Field | What it affects |
|---|---|
| Name | Shown in the product picker and product register. |
| Company | The selling company of every product in the catalog. It decides which company invoices the products and which accounts and VAT codes apply. |
| Active | When a catalog is inactive, none of its products can be sold, regardless of each product's own setting. |
| Draft | Marks a catalog that is still being prepared. Informational only; use Active to control sales. |
| Restricted to sites | Sites where the catalog's products are available. Empty = all sites. |
PRO - Product
| Field | What it affects |
|---|---|
| Name | Product name in sales, documents and invoices. |
| Code | Product code. |
| Active | Only active products can be added to sales. |
| Catalog | The catalog, and through it the selling company. |
| Unit price | The price per unit. |
| Unit price VAT included | Whether the unit price includes VAT or not. |
| VAT code | The product's VAT rate (see below). Required in practice. |
| Accounting group | Which sales account the product is booked to (see Accounting). Required in practice. |
| Fixed dimension labels | Dimension labels always applied to this product's sales rows, regardless of the sale's own dimensions. |
| Categories | Used to filter products in product lists. |
| Internal prices | Internal cost of the product, used for internal pricing and margins when enabled (see below). Only the first price is used. |
| Notes | Internal notes. |
| Family | The product type. Choose exactly one. See below. |
A product without a VAT code or product type (Family) causes errors: the product — and sometimes the whole product list — cannot be opened. Always fill in both.
Product types (Family)
| Type | Use for | Settings |
|---|---|---|
| Accommodation | Overnight stays | Accommodation level and Age category — which rooms and which guests the price applies to. Priced per night. |
| Packet meal | Meal packages, e.g. Full board | Meals included and Age category. A packet with one meal is priced per day; a packet with several meals per night. The meals are added to the sale's program automatically. |
| Calendar product | Rentals of spaces, equipment and staff time | Quantity unit: hour, day or piece. |
| Basic product | Everything else: services, goods, fees | — |
Display name on products and Bulk product on basic products currently have no effect.
CMN - VAT Rates
VAT codes used by products.
| Field | What it affects |
|---|---|
| Display name, Description | Shown when selecting a product's VAT. |
| VAT rate | The VAT percentage. |
| Company VAT codes | The VAT code sent to accounting, per company. |
| Type | Distinguishes VAT codes that have the same rate. When Finland's VAT rates change, Willba's VAT refresh tool uses the type to pick the correct new code, for example to keep a food code separate from an accommodation code. |
The Marginal field currently has no effect. Margin taxation is switched on in Global Configuration (see below).

In GLB - Global Configuration:

| Marginal tax | Must be Enabled before products or sales rows can use margin taxation. |
| VAT rate refresh tool | When enabled, Willba flags sales that still use outdated VAT codes after a VAT rate change and offers to update them. |
| Advance VAT handling | Whether advance invoices keep the VAT (Keep VAT) or are made without VAT (Remove VAT). |
